Job Description:

Directly assist the CEO with varied assignments related to company business, people, and project management. This includes but is not limited to:

PERSONAL & PROFESSIONAL CAPABILITIES
    • Excellent/fluent in English: verbal and written communication skills.

    • Must have a tactful, diplomatic, and influential persona & disposition.

    • Expert level English writing, editing, grammatical, organizational, and research skills.

    • Minimum 3 years (preferably 5) as a Project manager to a Sr. VP or greater.

    • Six Sigma Black Belt or PMP Certification must

  • This position has access to and regularly works with information of the most sensitive, highly confidential, strategic, and critical nature. Discretion and confidentiality of highly sensitive information is a personal and human core value of yours.
  • Fast and highly efficient.
  • Advanced-to-expert administrative capabilities in Google Suite, Microsoft Word, Excel, and Adobe Acrobat, social media web platforms, and enterprise-level CRM SaaS (ie. Salesforce).
  • Jira/Asana/Trello/Basecamp
  • Professionally seasoned and strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external business prospects and/or partners.
  • Ability to seamlessly work and interface with a broad range of professionals including Enterprise client decision-makers, Board members, Executives, Vendors, Contractors, University Professors, City of Commerce, Government Agency s, etc.
  • Outstanding organizational and time management skills.
  • Manage complex executive administrative work requiring the use of independent judgment and initiative.
  • Provide administrative & support services to ensure the most efficient use of the CEO s time. Getting this balance right requires an understanding of the business goals, the context for key decisions, and an appreciation for the CEO's work style and often-changing priorities.
  • Able to work under minimal supervision and still produce efficient high value.
  • Maintains good relationships with key stakeholders internally and externally.
ADMINISTRATION & ORGANIZATION
  • Manage information flow in a timely and accurate manner.
  • Coordinating and briefing CEO of daily and calendar appointments.
  • Coordinating meeting set-ups with various parties.
  • Prepare weekly, monthly, or quarterly reports.
  • Provide accurate briefs to the CEO on performance metrics taken from business line data reports.
  • Take minutes during certain meetings and provide back to the CEO as a clear and accurate summary.
  • Screen CEO phone calls, inquiries, emails, and other incoming message channels, and respond/route/flag based on importance and priority
  • Format data/information/insights for internal and external communication use memos, emails, presentations, reports, infographic
LIAISON & REPRESENTATION
  • Primary responsibilities:
    • Business development
      • Brief on BD tasks due from our leaders
      • Followup and coordinate on deliverables
      • BD examples:
        • Research, identification and shortlist on identifying software tools
        • Coordinating all meetings for CEO and rearchitectinghis schedule to save time and increase efficiency. Using Calendly to achieve this.
        • Teammate whose role needed rearchitecting. Coordinate communication between leaders, shortlist responsibilities based onfeedback and identify KPIs.
    • Project management
  • Liaison on behalf of CEO with different roles including but not limited to: Legal, CPA, fellow executives, and the Board of Directors.
  • Targeting and prospecting specific talent/opportunities on behalf of the CEO.
  • Communicate meeting logistics with high-level attendees - both internally and externally.
  • Coordinate travel arrangements, prepare itineraries, plan logistics.
  • Liaison to business/personal networks from time to time.
  • Tend to miscellaneous personal and business tasks on behalf of the CEO.
  • Organize and manage various meetings and conferences with important internal & external stakeholders, including preparing meeting agenda and presentations, taking notes, and bringing to closure any follow up items resulting from meetings.
DATA ANALYTICS & BUSINESS INSIGHTS
    • Deep involvement with data & analytics for high-impact decision-making processes and projects of complexity and speed.

    • Execute goal-based research, collect & document data, and present findings in a clear, succinct, and easy to understand manner.

    • Advance-to-Expert experience using Business Intelligence tools to gain and deliver data insights, similar to SaaS applications such as: Kiss Metrics, Microsoft Azure, Tableau, Pendo.io, MixPanel, and ProfitWell.

    • Track cross-functional KSG/KRA projects running in the organization and ensure timely closure of action items

    • Preparing insightful easy to understand DATA dashboards for the CEO.

OPERATIONS & PROJECT MANAGEMENT

  • Work independently on CEO assigned projects, from conception to completion.
BONUS CAPABILITIES
    • Executive Assistant experience in providing the following to executives (i.e., PR, International Sales & Marketing, CXO cross-functional communication strategies, Leadership, Scale, and Brand Positioning).

    • Being fluent in Mandarin, Spanish, and Hindi is a plus.

    • Sr. Software Engineering capabilities

    • MBA

    • Six Sigma Black Belt with experience in at least 2 projects as a black belt.
