Roles and Responsibilities

1. Education

- High school diploma or GED; Bachelor s degree preferred

- A certification and/or credential from a nationally recognized Virtual Assistant program preferred.

2. Experience

- More than 3 years experience working as a virtual assistant, administrative assistant or executive assistant; or experience as a project manager.

- Experience working effectively with executive and administrative leadership, managers, C-level positions, mid-to-high level managers; and experience with working directly with individuals.

- Success multi-tasking in complex, multi-cultural environments with a focus on working with clients and driving results.

3. Required Skills

- Possess proficiency in all components of Virtual Assistant s skillset, including:

  • o MS Office
  • o Managing calendars, appointments, events
  • o Scheduling and follow-up
  • o Research via Internet
  • o Communication verbal and written
  • o Customer service

- Familiarity with latest workplace technologies, including VoIP, online calendars and desktop sharing.

- Excellent multitasking, time management and organizational skills

- Ability to work with minimum supervision

- Ability to understand/execute instructions with minimal input

- Highly effective networker, effective at creating and maintaining client relationships.

Highly motivated team player

- Ability to meet deadlines and accomplish tasks within or before due dates

4. Preferred skills

Strong and mature people management skills, troubleshooting skills, and sound judgement necessary in handling scenarios that require problem solving and decision-making.
- Confirmed track record in excellent client delivery & satisfaction.
- Data-driven and strong analytical thinking used to make decisions.
- Flexible in a rapidly changing environment with the ability to prioritize tasks as business needs change.

5. Physical Requirements

Extended periods of time sitting at a desk and use of computer and phone.
- US Shift (Night Shift - EST Time Zone)


Position Responsibilities
1.The Virtual Assistant will develop and maintain strong relationships with all clients and owners.
2.Basic administrative tasks are to be performed including:

  • answering phone calls
  • monitoring and responding to emails
  • maintaining and updating calendars
  • providing reminders for important tasks, deadlines, and appointments.

3.Client-specific tasks to be performed by the Virtual Assistant may include:

  • researching and booking travel
  • proofreading and editing of documents
  • managing and organizing data, documents and photos
  • performing basic photo editing.


    4. Excellent customer service will be achieved by assisting clients with coordinating events and personal commitments, doctor appointments, child care arrangements, etc.

5.The Virtual Assistant may be tasked with providing clients with day-to-day business needs including:

  • creating office memos and official company forms and documents
  • typing, compiling and preparing reports, presentations and correspondence
  • providing clerical support for word processing, data entry, registrations, etc. formatting and design of PowerPoint Presentations

6.A good Virtual Assistant will work well with technology and software programs. He/she may be responsible for:

  • setting up and coordinating webinars
  • providing administrative support and basic management of bogs
  • providing basic Project Management support
  • live support (phone/chat/message board support)
  • maintaining editorial calendar, managing social media and account administration

7. Assisting clients with managing their personal tasks will be expected. These responsibilities may include:

  • providing wake-up calls
  • online shopping
  • managing and paying bills and checking account reconciliation
  • monitoring and maintaining subscriptions
  • monitoring investments.

8.Customer service responsibilities will also include:

  • providing first level customer service and support to clients
  • transcribing voice recordings
  • mailing list development.

9.Virtual Assistants may be asked to provide basic support to sales departments by performing the following tasks:

  • conducting basic research via the internet
  • following up on leads and new queries
  • providing telemarketing and lead generation services providing assistance with CRM (customer relationship management) platforms

10. In addition, Virtual Assistants may be responsible for conducting applicant screenings, recruiting, performing background checks and reference verifications, etc.

11. Experienced Virtual Assistants will be the point of contact for other Virtual Assistants and may be asked to coordinate specialized virtual staff positions for clients.

12. The above list of responsibilities is not an all-inclusive list. The Virtual Assistant will be expected to assist with other projects as needed.
