Chief of Staff - Key Responsibilities:

Direct Support of the CEO

  • Setting strategic priorities: Assisting the CEO to identify the areas where he must direct his focus and identifying metrics for success. Revisiting regularly and evaluating progress.
  • Strategically managing CEOs time: Working with the CEOs office, looking at long term travel calendar, evaluating opportunities, and determining fit with priorities.
  • Meeting preparation and follow up: Reviewing upcoming meetings for the week to ensure the CEO has all of the information needed to be as productive as possible and sending out agendas or documents to meeting attendees as necessary.
  • Reviewing Internal and External Communications: Drafting company newsletters, reports, pitch decks, speeches, or presentations for the CEO.
  • Monitoring information flow: Sometimes acting as a gatekeeper, ensuring a CEOs involvement in a project or decision-making process at the right moment.

Meeting & Event Preparation

  • Managing the meeting cadence for the board of directors and leadership team, ensuring materials are sent in advance, time is well spent, and objectives are achieved.
  • Planning and leading company retreats, step backs, and other special events.
  • Taking notes during the meetings that the CEO attends and making sure that the action items from the meeting are followed up on progress & executed.
  • Acts as the communication arm for the CEO with other executives in the organization, clients or major stakeholders.
  • Acts as the sounding board to the CEO for new ideas and initiatives.
  • Acts as the facilitator for the CEOs colleagues or employees (department heads or other VPs that report to him/her). This means being able to communicate wants, needs, concerns, ideas from employee to boss in an effective and efficient way.

Project Management -

  • Overseeing large, often cross-functional organization-wide projects orinitiatives.
  • Bring together multiple stakeholders and help drive decisions.
  • Researching, benchmarking, analyzing data, and making recommendations.
  • Creating systems and processes to streamline operations.

Strategic Planning

  • Leading annual strategic planning for the company.
  • Creating & updating dashboards for reviewing key performance indicators.

Hiring and Management

  • Hiring for CEO office: Drafting job descriptions, working with the TA function to interview candidates for roles reporting into the CEOs office.
  • Office of CEO team management: Hires and directly manages members in the office of the CEO. This may include executive assistants, special project managers, business analysts, or others.

The ability to think ahead and catch problems before they arise.

Chief of Staff must be willing to use their power and influence to lead from behind. S/He need to be passionate about the role and mission of the organization and be a strong partner for the CEO.
