Job Summary General Information Job Title: Office Administrator Division/Department Security Systems/ IT Solutions Reporting Relationships Reports to General Manager Subordinates None Responsibilities Job Summary
  • Responsible for the administrative function and ensures the smooth running of the day-to-day office activities by managing and/or liaising with relevant parties.
  • Supporting the Security Services & IT Staffs with the administrative requirements.
  • Responsible for publishing marketing materials on Social Media and via Emails.
  • Handling of basic accounting & ERP Software data entry.
Main Responsibilities Handle all customer enquiry & request receives through calls, emails & other medias.
Assisting customers with their enquiries, escalate/ re-direct problems when appropriate.
Log all the calls & prepare the daily schedule for the technical team.
Assists Site Engineers for preparing the Project Proposals and Prepare Tender Documents for bidding.
Coordinate with the site engineers & technicians for the status of project progress & customer s service call.
Schedules and arranges meetings & site visits and notifies interested parties.
Coordinate site visits and clarification meetings between the client & ZAVYS.
Monitor & Consolidate expense reports, file all contracts, control the incoming & outgoing documents.
Raise Purchase Requisition for customer s requirement for the project.
Liaise with concerned team to make sure project supplies are at the required level.
Typing of letters and memos, emails and preparing documents & presentations according to instructions.
Maintain filing systems for documents both physical and electronic.
Screen incoming telephone calls, letters & emails and screen appropriately based on priority.
Manages and maintains calendar & appointment schedule for Sales team and Directors.
Welcomes visitors and looks after their comfort as they wait for the Sales Executive & Directors.
Coordinate with courier services in for the incoming & outgoing shipments, follow-up & ensure that the delivery of materials will come on time.
Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.

  • Diploma in Office Administration / Graduate degree in a commercial, technical, business, or similar discipline.
  • Any related Certification will be an added advantage.
Experience
  • Minimum Two (2) years of experience in Office Administration and Customer Service.
KPAs
  • Outstanding Client Relation & Customer Service.
  • Sense of Commitment & Responsibilities.
  • Expertise in Handling Admin Support Functions.
  • Computer literacy: MS windows applications (MS Word, MS Excel, MS PowerPoint )
