Job Summary

Job Purpose

To mature its Master Data Management (MDM) Services has set up Global MDM capabilities into its Global Business Services organization. The Master Data Operations Steward for Legal & Integrity will be part of the Master Data Services Operations team and will be executing master data maintenance processes within SLAs, including its controls. The Master Data Steward will also be responsible for Supporting Compliance Investigators in managing master data related to EthicsPoint

Key Accountabilities

  • Support Compliance Investigators in managing master data related to EthicsPoint and providing data analytics within scope as needed for investigations
  • Coordinate with Compliance Investigators to scope sources of data and scope of data review needed for certain SpeakUp investigations; Examples include: Invoice/PO data in SAP; procurement documents; T&E expenses in Concur)
  • Collecting, review and analyzing documentation and other data from relevant databases/systems in support of compliance investigations (e.g. identifying anomalies; variations from processes); provide summary of results of data analysis for investigators to use in completing investigations;
  • Process Legal & Compliance requests within adhered SLA and escalate exceptions
  • Conduct root cause analysis for the recurring escalations and errors reported in process and ensure to execute CAPA (Corrective Action & Preventive Action) for errors identified.
  • Support the implementation of master data quality rules and master data definitions.
  • Support L&I Team Lead on process standardization and optimization in order to increase the process efficiency.
  • Pro-active follow-up to business users with regular updates on requests from Requesters.
  • Support Team Lead and Operations Manager for strategic decisions related to process.
  • Support Team Lead with specific process related tasks, Root cause analysis, Audit, Reporting, etc.

Key Activities

  • Master data maintenance with respect to the Speak up process such as all aspects of registration, administration and closure of cases within the EthicsPoint system, entering data in accordance with user guidelines and process documents; maintaining data for input into InControl maintained systems
  • Support Team Lead with preparing (template) reports for various stakeholders within the organization;
  • Assessing legal documents on reliability;
  • Managing the e-mail inbox to which the data with respect to the Speak Up process is delivered
  • Set up and manage user accounts in EthicsPoint
  • Periodically performing data quality reviews
  • Reporting on required changes in EthicsPoint system
  • Manage issue fixing with business key users and IM support
  • Manage and prioritize a varied case load effectively and efficiently to achieve KPIs
  • Building strong relationships with stakeholders to support data access
  • Provide central and easy access to key data for investigation work

Experience

  • Understanding of the role of the Code of Conduct and compliance within organizations
  • Post graduation in Analytics, Accounting, Finance, Economics, Audit, Criminal Justice
  • Relevant certification preferred - Certified Fraud Examiner
  • Proven working experience of 5 year in related field (data analytics, preferably in the area of compliance and/or investigations)
  • Strong knowledge and experience with relevant Information Systems (e.g. SAP, Concur, O365)
  • Computer Skills including but not limited to strong proficiency in Microsoft Office (Word, Excel, Power Point, Access, etc.) and preparing graphical reports
  • Experience managing and expanding compliance or investigation database/system (EthicsPoint or similar preferred)
  • Experience working in shared services environment with experience in MDM and/or Legal or Compliance related function
  • Strong interpersonal and communication skills including the ability to interact with compliance team and business partners, especially to identify correct source of needed data
