Job Summary

Job Responsibilities 1. Requirements Elicitation: Collaborate with stakeholders, including end-users, managers, and IT teams, to gather and document detailed business requirements for the Document Management System. 2. Process Mapping: Analyse existing document workflows and processes, identifying pain points, inefficiencies, and opportunities for improvement. 3. Solution Design: Work closely with technical teams to translate business requirements into functional specifications, user stories, and system design documents. 4. Functional Testing: Develop test scenarios and conduct thorough testing to validate that the DMS meets specified requirements and functions effectively. 5. Change Management: Facilitate change management by preparing user documentation, conducting training sessions, and providing ongoing support to ensure smooth adoption of the DMS. 6. Collaboration: Serve as a liaison between business units and IT, fostering clear communication and understanding between technical and non-technical teams. 7. Data Management: Ensure proper categorization, metadata tagging, and indexing of documents within the DMS to enable efficient retrieval and search capabilities. 8. Quality Assurance: Monitor and assess the DMS for data accuracy, system performance, and user satisfaction. Implement improvements and enhancements as needed. 9. Stakeholder Communication: Provide regular updates on project progress, milestones, and potential risks to project managers and relevant stakeholders. 10. Continuous Improvement: Stay informed about industry best practices and emerging technologies in document management systems, and recommend enhancements to optimize the DMS over time. Qualification 1. Bachelor's degree in Business Administration, Information Technology, or related field. 2. Proven experience (10 years) as a Business Analyst, preferably in document management system projects or related areas. 3. Strong understanding of document management processes, workflow automation, and information governance. 4. Proficiency in gathering and documenting business requirements using techniques such as use cases, user stories, and process diagrams. 5. Familiarity with software development methodologies, Agile practices, and project management tools. 6. Excellent analytical and problem-solving skills, with the ability to analyse complex processes and propose effective solutions. 7. Strong interpersonal and communication skills, with the ability to convey technical concepts to non-technical stakeholders. 8. Detail-oriented mindset with exceptional organizational and time management abilities. 9. Experience in conducting functional testing and user acceptance testing. 10. Proficiency in Microsoft Office Suite and business analysis tools. Nice to Have 1. Previous experience with document management software or content management systems (CMS). 2. Knowledge of data privacy regulations (e.g., GDPR, HIPAA) and their impact on document management practices. 3. Certifications such as Certified Business Analysis Professional (CBAP) or Project Management Professional (PMP). 4. Experience in requirements management tools (e.g., JIRA, Confluence) and workflow modelling tools. 5. Familiarity with cloud-based document management solutions and integration with other business systems. 6.
